1. Purpose of this policy
Haivisoft Technologies Private Limited ("the Company", "we", "us") uses WhatsApp to answer questions and to send useful updates about our products, learning programs and apps. This policy explains when we message you, what we send, how we handle your data, and your choices. We follow the WhatsApp Business Terms of Service, the WhatsApp Business Messaging Policy and the WhatsApp Messaging Guidelines.
2. Who is messaging you
Messages come from the WhatsApp Business account of Haivisoft Technologies Private Limited. Our business profile lists our website, email address and telephone number so you can check it is us. We never pretend to be another business, and we do not ask you to move a conversation to an unofficial number.

3. Your consent (opt-in)
- We message you on WhatsApp only if you have given us your phone number and agreed to hear from us on WhatsApp. For example, you start a chat with us, you tick a WhatsApp consent box in a form, or you agree during enrolment or when you place a delivery order.
- Our opt-in names the Company, says what types of messages you will receive, and explains how to stop them.
- We ask for consent separately for each category: service and transactional messages, and promotional messages. Agreeing to service messages does not mean you agreed to marketing.
- If you message us first, we may reply and follow up about your request.
4. What we send
Support and sales conversations
Replies to your questions, demo scheduling, quotes and follow-ups about products and programs.
Service and transactional messages
- Learners: enrolment confirmation, class and assessment reminders, certificate and placement updates.
- Delivery users: booking confirmation, driver assignment, pickup and delivery status, and proof-of-delivery links.
- Customers: onboarding steps, invoices and payment reminders, and important account or security notices.
Promotional messages
New features, programs, offers and events. We send these only to people who opted in, and every promotional message tells you how to stop.
5. How messages are sent
- We start a conversation only with a message template that WhatsApp has approved, and use each template only for its purpose.
- We reply freely while the 24-hour customer service window is open, which opens and resets each time you message us. Outside it, we send only approved templates.
- We may use automation, including AI assistants, to answer or route messages. You can always ask for a person, and we provide clear ways to reach one: ask in the chat, use the contact form, or email us.
6. How to opt out
- Reply STOP to any promotional message, or tell us in the chat that you do not want messages.
- Opt out of a single category without leaving the others, for example stop promotions but keep delivery updates.
- You can also contact us by email, or block or report our number in WhatsApp at any time.
We honour opt-out requests, whether made on or off WhatsApp, and we stop the relevant messages promptly. We may still send essential service messages that you need for an order or program you are using, such as a delivery or security notice, unless you tell us to stop those too.
7. How we handle your data
WhatsApp is provided by WhatsApp and Meta. Messages are sent through the WhatsApp Business Platform, so your phone number, profile name and message content are also handled by them under their own terms and privacy policy.
We store conversations and your number in our support and customer systems to answer you, keep a record and improve our service. We use the data we receive through WhatsApp only to support messaging with you, we do not sell it, and we never forward or share one customer's chat with another customer. 8. What we will never ask you to send
- Full payment card numbers, bank or financial account numbers, UPI PINs, or passwords;
- Identity card numbers or other sensitive identifiers, which we collect only through secure forms in our products where the law requires it;
- Health or medical information. We do not use WhatsApp for telemedicine or to request health-related information.
Do not share one-time passwords (OTPs) with anyone, including someone who says they are from Haivisoft Technologies Private Limited. Report suspicious messages to us and to WhatsApp.
9. Children and learners
We do not message children under 18 for marketing. Where an institute enrols students under 18 on our platform, we send only educational and service messages, and only after the institute has obtained the consent of a parent or guardian. We do not use WhatsApp to promote age-restricted or regulated goods or services.
10. Message frequency and costs
We aim to keep messages relevant and infrequent. Frequency depends on your activity, for example an active delivery or class schedule creates more updates. Data charges from your mobile provider may apply. If many people block or report our messages, WhatsApp may limit what we can send, which is another reason we keep to what you agreed to.
11. Changes and contact
